Leave Type
There
are different types of leave that employees may accrue or have
rolled over from previous years. The most common types are;
- Sick earned post 1997 - This
is the current type of sick leave which accrues based on the rules in
the table below. This leave will only be used after all sick leave
accrued prior to 1984 is exhausted.
- Sick earned 1984-1997 bal only - This
type of sick leave is carried over from hours that were accrued between
January 1, 1984 and December 31, 1997. This type of leave can no
longer be accrued and hours will only be deducted from this leave type
after exhausting the balances of any sick leave accrued post 1997 and
any sick leave accrued prior to 1984.
- Sick earned pre 1984 bal only - This
type of sick leave is carried over from hours that were accrued prior
to January 1, 1984. This type of leave can no longer be accrued and any
sick leave taken will first be deducted from this leave type until all
accrued leave of this type is exhausted.
- Vacation - This type of leave is used for personal time off in accordance with University policies and procedures.
- Extended Sick
- All Civil Service employees are granted 20 extended sick leave days
per each fiscal year on July 1. These days are available to employees
for major medical illnesses. Any unused days do not carry over
from year to year. Extended sick leave will be available for use on the
sixth consecutive work day missed due to injury or illness for most
employees, unless they are covered by a collective bargaining
agreement. Represented employees need to review their union agreement
to view the usage requirements.
Years of Service
For
some leave categories, vacation leave accrual rates differ based on the
employees years of service. Years of service is determined by
subtracting your Adjusted Service Date from the end date of the pay
period in which the leave is to be accrued.
Hours Accrued
With
the exception of Extended Sick Leave, hours accrued represents
the maximum amount of hours that can be accrued per pay period.
Extended Sick leave accrues on the first pay period in the month of July.
Pay periods are defined on the payroll calendar for the payroll
that you are paid on (Semi-Monthly or Bi-Weekly payrolls). To

Accrual
rates may be pro-rated depending on various factors such as
the amount of hours worked (for bi-weekly employees), your appointment
percentage (or FTE) and the amount of time that you were in pay status

Maximum Two Year Rollover
Leave
records are viewed on June 30 of each year to ensure that employees do
not exceed this limitation. Leave time in excess of the Maximum Two Year Rollover (Max 2 Year Rollover)
is not carried forward into the next fiscal year and cannot be
used. This time is equal to two years worth of leave accrued at the current accrual rate.
