How to Complete Community Service
All recipients of the Johnetta Haley Scholarship are expected to read through the 8-page JHS Student Guide each semester. The guide includes general information about the Johnetta Haley Scholarship, community service information, and frequently asked questions. Page 8 contains all important contact information and website addresses.
1. Read the JHS Newsletter email each Wednesday for information about pre-approved service experiences for which you can sign up. This weekly newsletter will be sent to your SIUE email accounts. However, do not rely on these as the only places you look for community service opportunities!
2. Pre-approved organizations provide service opportunities that meet the JHS definition of community service. Contact pre-approved organizations that interest you to schedule community service hours that fit in to your schedule. Click here for the Pre-Approved Service Organizations List.
3. You are not limited to pre-approved experiences and organizations. However, completing community service activities with organizations that are not pre-approved may result in your service hours being denied (not approved), regardless of approval in past semesters. To be approved, your service must meet the current JHS definition of community service as described in the JHS Student Guide.
- You may use the Service Approval Criteria List to help determine if an organization/activity will be approved. The service must be done through a non-profit organization (no businesses or religious or political organizations).
- Additionally, students may contact Erin Myers in the SOAR Office (text 618-706-9673, email jhscholar@siue.edu, call 618-650-5650 or 618-650-3790) to verify if an organization/activity will be approved or for help finding qualifying community service opportunities.
- If online sign-up is available, view the schedule and sign up for shift(s) immediately. Shifts tend to fill quickly. If you have questions, contact the organization directly.
- If online sign-up is not available, immediately make direct contact with the organization to arrange service hours.
- If you contact an organization and do not get a response after a few days, make contact again. Try a different communication method (email, phone, website, etc.). Be persistent in following up, yet remain courteous.
- When emailing, follow the Email Guidelines for professional and effective email communication.
- You do not need to have a form or paper signed to prove you completed your service hours, but you do need to keep detailed records. You will need this information when you submit/report your hours.
- Use the JHS Community Service Log to record details, including the date you serve, time span, number of hours, event name or experience description, and non-profit name. Stop by the SOAR Office for a printed copy (click here for location and office hours).
- When you serve, record the name, title, phone number, and email address of the person organizing or overseeing your work (this person should be affiliated with the non-profit organization or SIUE department).
- Be sure not to miss scheduled community service, as you may not be able to reschedule it. Put the details in your planner, on your calendar, in your phone, or wherever you keep track of your schedule/appointments.
- If you do have to miss scheduled community service, contact the organization as soon as possible so the organizer has time to adjust their plans accordingly. If you signed up online, go back and cancel your reservation so the time slot(s) can be available for others to sign up.
- Examples:
- You served at an event on January 27. Submit those hours no later than February 10.
- You served on January 20 and January 27 for the same non-profit organization/SIUE department and did the same or very similar type of work on both dates. Combine the hours for both dates on one form no later than February 3 (two weeks after the first service date of January 20).
- You served on January 20 and February 4 for the same non-profit organization/SIUE department and did the same or very similar type of work on both dates. Since January 20 and February 4 are more than 2 weeks apart, submit separate forms. The form for the January 20 work should be submitted no later than February 3. The form for the February 4 work should be submitted no later than February 18.
- You serve through the same non-profit organization/SIUE department multiple times a week for the duration of the semester (such as being note-taker for ACCESS). The work is the same or very similar type of work each time. Combine the hours for 2 weeks worth of service on one form. If the first day you took notes was January 16, submit your first form on January 30, and include your service time from January 16 - 30. Your next submission would include time from January 31 - February 14 and should be submitted on February 14. You would repeat this pattern throughout the semester.
- If the non-profit/SIUE department AND type of work are not identical, submit separate forms for each experience.
- The absolute final deadline for reporting hours for this semester is Monday, April 15 at 11:59 p.m. No extensions or late submissions will be allowed. If you submit your hours in April, and your submission is denied (not approved), you may not have time to fix the problem or complete additional hours before the deadline. Extra time to fix a problem or complete additional hours will not be allowed.
- If you have questions about when you should submit your hours or if you can combine hours on one form, contact Erin Myers in the SOAR Office (email jhscholar@siue.edu, text 618-706-9673, call 618-650-5650 or 618-650-3790).

Communication of important information, such as community service opportunities, reminders, progress updates, etc. is sent to students’ SIUE email accounts. It is vital that Johnetta Haley Scholarship recipients check their SIUE email accounts regularly.
- Read every part of every email– click links and read all attachments thoroughly.
- Students should not ignore an email that seems incorrect or does not seem to apply to them – the student should reply to the email to find out for sure if there is a mistake or if there is something they need to do to resolve the situation.
- The weekly JHS Newsletter is personalized with information for each student. Friends and classmates who have the JH Scholarship may receive different information. Each student should act according to the information sent to them and direct any questions to the SOAR Office (see "Get Help" below).
- College students are expected to communicate clearly and in a professional manner. How an email is written may affect how the reader reacts and their ability to help. Follow the Email Guidelines for writing professional and effective emails.
- In addition, the student should complete the Email Troubleshooting steps.
- For free assistance with email issues, please contact SIUE ITS (call 618-650-5500, email help@siue.edu).
