Overview of Kuali Research
SIUE uses Kuali Research (KR) to support our research and creative activity enterprise. There are eight modules – conflict of interest, protocols, proposal development, award, sub-award, negotiation, reports, and institutional proposal. There are also three environments – production, staging, and sandbox.
Production is the live system in which you submit disclosures, protocols, and proposals. Staging is a clone of the production system that allows “playing” in the system without affecting the live environment. However, it is overwritten every night, so test items, such as a test proposal, will disappear. Test items can be saved and returned to in sandbox, but the environment is infrequently updated. Therefore, inconsequential and well as significant changes, e.g., updated questions, may be missing.
Working with the Provost’s Office and Human Resources, we leveraged the conflict of interest (COI) module to replace the paper process for COI and conflicts of commitment disclosures as well as submission of annual reports for outside employment. This module is also where COI disclosures for certain funding sponsors occurs.
If you are seeking external funding, you will use proposal development (“prop dev”) to develop the project budget. The system will prompt required compliance, such as financial COI. For federal agencies, we can use the system-to-system capabilities, so you do not have to enter a federal agency submission portal. Once a proposal is finalized, it is submitted to institutional proposal, which is the official institutional record of the proposal as submitted.
Those who work with human subjects or human subject data and those who use animals in research or teaching submit protocols through the protocols module.
When external funding is received, the award module is used for institutional reviews and requesting a grant account. If the project has a contract or other agreement, the negotiation module is used by the Office of Research and Projects (ORP) to track the negotiation, including contract versions. Similarly, the sub-award module is used by ORP to issue and track sub-awards, which are an agreement between SIUE and another institution for that institution to provide services as part of an SIUE project.
Those with permission can use the reports module to view and export data from KR, including a listing of proposals and awards in institutional proposal for their unit.
A neat feature of KR is medusa, which links a proposal with other modules. Generally, you would access medusa through your proposal in prop dev. Using it, you do not need to search for your institutional proposal, award, negotiation, or subawards. You can click on the links in medusa.
