Office Support Specialist

Job Description/Responsibilities
Under direction as primary assistant to the Director of Development, this position is independently responsible for initiating and coordinating high level office support functions for the Library and Information Services Development Office and the Friends of Lovejoy Library.  S/he serves as a liaison between LIS Development Office, SIUE, and outside agencies for the Friends of Lovejoy Library and works independently with the Advisory Board on major events including the High School Writer’s Contest, Holiday Dinner and Annual Meeting.  This position discusses and consults with chairs and sub-chairs and coordinates and implements various procedures for these Committees.  S/he represents principal at committee meetings and assists Board Secretary with Advisory Board and Committee meeting minutes.  S/he will supervise student workers during events.  This position monitors and reviews unit fiscal transactions and accounts by inquiring on Administrative Information Systems as Fiscal Officer/Delegate of SIUE Foundation-Lovejoy Library 8 account.  S/he monitors and reviews unit fiscal transactions and accounts by inquiring on SIUE Foundation ledger on Ascend software.  S/he tracks and processes donor contributions on specialized software.  S/he monitors and reviews spending of ISBE Grant for HSW Contest when applicable.  S/he coordinates numerous mailings and materials donations to the Friends of Lovejoy Library. The Office Support Specialist may be assigned other related tasks in support of the department’s mission and goals. 

Minimum Qualifications

1. High school graduation or equivalent.
2. Twelve (12) months of clerical/office support work experience comparable to
    that performed at the Office Support Associate level of this series or in other
    positions of comparable responsibility
3. Any one or combination totaling twenty-four (24) months from the following
    (a) work experience performing clerical/office support work
    (b) vocational training that provided a knowledge of generally accepted
          clerical procedures
    (c) college or university course work in Office Occupations, Business
         Administration, Business Education, or closely related fields
         36 semester hours = twenty-four (24) months
    (d) college or university course work in any curriculum
         60 semester hours = twenty-four (24) months  
4. Ability to keyboard accurately at a rate of 40 net w.p.m.                               

Additional Knowledge and Skills Preferred

  • Extensive knowledge of secretarial and general office practices and procedures including accounting procedures
  • Excellent verbal and written communication skills, including proofreading skills
  • Effective public relations skills and ability to work with donors, prospective donors, volunteers, faculty, staff, students and outside agencies
  • Ability to work independently, exercise good judgment, establish priorities, anticipate needs and keep donor information confidential
  • Knowledge of various work processing, fund-raising and spreadsheet software
  • Knowledge of Library and Information Services and University policies and procedures
  • Knowledge of SIUE Foundations policies and procedures, Friends of Lovejoy Library programs, and U.S. Internal Revenue Service guidelines.
  • Ability to repeatedly lift 30 lbs

$2,278 per month
