Job Description/Responsibilities
This position serves as office manager and the sole clerical support to the Department of Mass Communications, with the exception of one 10 hour per week student worker during the fall and spring semesters.

Specific duties include, but are not limited to: 

  • Maintaining a comprehensive understanding of organizational activities which impact the Chair and the operations of the Mass Communications Department, prioritizing, coordinating and facilitating necessary actions.
  • Serving as liaison between the Chair, faculty, staff and students, university administrators, alumni, outside agencies and the general public in matters of policy and administrative detail often requiring confidentiality.
  • Serving as resource person for Chair, faculty, staff and students.  Evaluating and selecting information which best meets the requirements of assignments.  Interpreting and applying guidelines and policies to varied individual circumstances.
  • Answering inquiries and resolving problems which require the interpretation, explanation and justification of administrative policies and procedures of the Mass Communications curriculum and ACEJMC accreditation standards, CAS and the University.
  • The Office Manager may be assigned other related tasks in support of the department’s mission and goals.

Minimum Qualifications

  1. High school graduation or equivalent
  2. Twenty-four (24) months of clerical/office support work experience comparable to that performed at the Office Support Specialist level of this series or in other positions of comparable responsibility (see Specialist duties here http://www.sucss.illinois.gov/documents/ClassSpecs/spec0845.pdf)
  3. Ability to keyboard accurately at a rate of 40 net w.p.m.

Personal Attributes Needed to Undertake Job

  1. Working knowledge of word processing spreadsheet programs
  2. Ability to anticipate needs, establish priorities and work well under pressure and with constant interruptions
  3. Extensive knowledge and understanding of the University, College of Arts and Sciences, and Department of Mass Communications curriculum and ACEJMC accreditation standards
  4. Excellent verbal and written communication skills, necessary for effective association with faculty, students, staff, as well as outside agencies, alumni and the general public
  5. Ability to supervise and train student staff
  6. Proven ability to determine what issues require a high level of confidentiality and maintain said confidentiality in handling the work of the Chair.

$2,470 per month
