Access to offices, the main office area, custodial closet and storage areas is restricted to those permitted to enter them.
Attachments may not be made to walls or other surfaces without approval by a Campus Minister, the Executive Committee, or Business Administrator.
Candle Usage is forbidden except in worship services and prayer meetings conducted or authorized by Campus Ministers, or with the Executive Committee’s approval. Candles must be firmly held by candlesticks or other appropriate holders. During religious services, a candleholder may be carried if it has on it an appropriate attachment that catches wax effectively. Extreme caution and discretion by all persons is advised whenever candles are used. Caution must be used when moving recently extinguished candles.
Cleanup and leaving the Center in good order is the responsibility of any group using it; a Campus Minister or the Business Administrator may determine if it has been accomplished satisfactorily. An Outside Organization may not expect the Campus Ministers, Business Administrator or other staff to help clean up after its event/activity. Any group that does not appropriately or adequately clean up after its event will be billed $10 per hour for custodial service. Garbage should be removed from the premises, furniture, toys and other property put back in good order, the kitchen cleaned if used and all areas left in a condition at least as good as that in which they were found. If an event/activity disrupts the cleaning schedule or happens after the last scheduled time the Center is routinely cleaned before 9 AM, the group responsible must make sure all areas are presentable; advance notice of disruption is necessary so the custodian may be notified. Any group that repeatedly ignores this regulation will be barred from holding events/activities at the Center.
Equipment: No calls may be made from a Minister’s telephone unless he/she has given permission. Except with the Business Administrator’s approval, no one but Campus Ministers may use office equipment or make non-emergency on or off-campus calls from the Business Administrator’s telephone. He/she or others involved with the Center will assure that audio-video equipment is readily available but are not expected to set up, run, explain the operation of, or assist in running such equipment, or to provide blank tapes. Only Campus Ministers, the Business Administrator and, in rare instances, persons they authorize, are allowed to take URC equipment off the premises and only if it has been signed out according to the office procedures. Anyone borrowing or using any equipment is responsible for repair of any damage it may sustain while in his/her care, and for paying for replacing damaged equipment if it cannot readily be repaired. All Center property is to be treated carefully and used in an appropriate manner. Loss or damage caused by abuse, misuse, carelessness, or neglect is the responsibility of the person, group or organization that had oversight when the loss/damage occurred.
Fees are per hour, per room. All expected fees must be paid in advance; 50% is due as a non-refundable deposit. Outside organizations will, with few exceptions, be charged rental, attendant, kitchen and, sometimes, custodial fees. In the rare instance when the Executive Committee waives or reduces a rental fee, applicable attendants, custodial and kitchen fees will be charged. No fees are charged to a participating organization for events/activities directly related to its ministry, or for any event/activity scheduled through it that involves the constituency or constituencies that support it. No fees are charged for events and activities scheduled through a participating organization if the events or activities involve the constituency or constituencies that support it.
Food Service and catering are not provided by the URC. It will not supply disposable/nondisposable tablecloths, flatware, plates, cups, etc., for any event not flowing from it. Food and other supplies kept by the URC and participating organizations are not available for general use without consent. Participating organizations may use the kitchen and provide food service for their activities; they and the Campus Ministers are fully responsible for appropriate cleanup and control of such food service. Except by the Executive Committee’s approval, food is forbidden in the Dome room. The kitchen will not be open to any outside group that has not made specific arrangements with the Business Administrator regarding its use, with provisions regarding extent of use and arrangement for cleanup. He/she may occasionally give outside organizations approval for bag lunches, snacks, trays of sweets or other already-prepared refreshments to be brought into the Center and may sometimes approve arrangements concerning food/beverages for outside groups. Such arrangements are subject to the Executive Committee’s approval; its decisions are final. Outside organizations are not to expect Campus Ministers, the Business Administrator or other staff members to act as cook, usher, waitress/waiter or to serve, help serve or prepare food/beverages.
Liability for events/activities sponsored by a participating organization is its responsibility, not the URC’s. Liability includes but is not limited to property damage and personal injury. All outside groups must present proof of insurance at the time of application, for the Center to keep on file; a Certificate of Liability is preferred.
Parking -The URC and Campus Ministries are not expected to pay for or otherwise to provide for free or reduced visitor parking.
Pets and other animals are not allowed in the Center except for “helper animals” such as Seeing Eye dogs.
Preparing for and running an event/activity held by an outside organization is the responsibility of the group; the Campus Ministers, Business Administrator and other staff members are not to be expected in any way to served as its assistant or secretary.
Removing/relocating/rearranging movable property. Equipment for worship, other equipment, furniture, decorations, etc. may not be expected by an outside group/person and is allowed only with prior approval by a Campus Minister, the Business Administrator or the Executive Committee.
Reservations may not be made for outside organizations/persons more than 2 months before the scheduled event/activity.
Safety and emergency procedures and location of latex gloves, first-aid supplies, fire extinguishers and other safety and emergency-related equipment should be known by all staff members, persons in charge and other persons regularly in the Center. Due largely to dangers presented by the possibility of transmission of blood-borne pathogens, any injury, accident or contact with blood or other body fluids is to be immediately reported to the Business Administrator or a Campus Minister. Blood of any quantity and all other body fluids must be assumed to highly infectious and contact with same has to be avoided even if avoidance causes delay in cleanup or in administering urgently needed first aid.
Smoking and drug/use/sales: Smoking is not allowed in the Center; it is allowed outside the exterior doors. No alcoholic beverages are permitted on the premises, except for sacramental purposes. Use and sales of tobacco products or nonprescription controlled substances and sales of controlled substances and alcohol are forbidden.
Unsupervised children are not to be in the Center, which means all children are to be in the actual presence of a responsible adult who is in charge of, responsible for and actively supervising them. The person supervising any children must be designated and identified as such to the Business Administrator, Campus Ministers and/or person(s) in charge, none of whom are to be expected to “watch,” listen for or in any way supervise children of any age. Children are not permitted to roam about the Center indoors or outdoors without being supervised; to cause damage to anything or to disturb or distract anyone working, studying, praying, meditating or reading.
