Office Support Specialist

Job Description/Responsibilities
The primary responsibility of the Office Support Specialist is to provide administrative support to the School of Pharmacy, Office of Professional and Student Affairs. Specific duties include but are not limited to: keeping faculty, staff, and students informed of activities by creating and maintaining an events calendar using the SOP Google calendar; scheduling rooms for student organizations using Virtual EMS; providing administrative assistance to the scholarships and awards committee and admissions committee; composing and mailing letters; maintaining student databases and keeping files on student affairs functions and other pertinent files; entering vacation and sick leave for OPSA using Banner; coordinating paperwork, preparing for unit such as payable forms, travel vouchers, purchase and service requisitions, and consultant agreements; assisting with preparations for various events including but not limited to New Student Orientation, SIUE Diversity Healthcare Summer Camp, White Coat Ceremony, Pinning Ceremony, Scholarship & Awards Ceremony, Hooding Ceremony, and applicant interviews. This position regularly uses Blackboard, Banner, Virtual EMS, Axis TV, WebAdMIT, PaymentNet, and Cascade.  The Office Support Specialist may be assigned other related tasks in support of the department’s mission and goals.

Minimum Qualifications

  1. High school graduation or equivalent.
  2. Twelve (12) months of clerical/office support work experience comparable to that performed at the Office Support Associate level of this series or in other positions of comparable responsibility.
  3. Any one or combination totaling twenty-four (24) months from the following categories:
    (a)  work experience performing clerical/office support work
    (b)  vocational training that provided a knowledge of generally accepted clerical
    (c)  college or university course work in Office Occupations, Business Administration,
          Business Education, or closely related fields
          36 semester hours = twenty-four (24) months
    (d)  college or university course work in any curriculum
          60 semester hours = twenty-four (24) months  
  4. Ability to keyboard accurately at a rate of 40 net w.p.m.     

Additional Knowledge and Skills Preferred by Hiring Unit

  1. Knowledge of Blackboard, Banner, Microsoft Excel, Word, PowerPoint, and Publisher.
  2. Knowledge of, or willingness to learn, Virtual EMS-scheduling for meetings and events, Cascade-updating website, AXIS TV-updating electronic signage, WebAdMIT-pharmacy specific web-based application process, PaymentNET-reconcile P-Card

$2,324 per month
