Office Support Specialist

Job Description/Responsibilities
The Office Support Specialist prepares and manages the SDM Research Administration budget.  In addition, he/she is expected to function independently much of the time and interact with SDM faculty in grant/manuscript preparation, financial record keeping, and purchasing research supplies.  The individual is the major liaison between the SDM Research Committee Chair, Research Administration and SDM Faculty.  He/she maintains a database and files of faculty research productivity, takes minutes at and prepares materials for Research Committee meetings and performs other tasks associated with the Research Committee as needed.  The Office Support Specialist works closely with other civil service personnel both in the Science Building and on the Alton and Edwardsville campuses as necessary for the completion of assigned tasks.  The Office Support Specialist assists the Director with preparation of teaching materials.  This position may be assigned other related tasks in support of the department’s mission and goals. 

Minimum Qualifications

  1. High school graduation or equivalent.
  2. Twelve (12) months of clerical/office support work experience.
  3. Any one or combination totaling twenty-four (24) months from the following categories:
    (a) work experience performing clerical/office support work
    (b) vocational training that provided a knowledge of generally accepted clerical procedures
    (c) college or university course work in Office Occupations, Business Administration, Business Education, or closely related fields 36 semester hours = twenty-four (24) months
    (d) college or university course work in any curriculum 60 semester hours = twenty-four (24) months  
  4. Ability to keyboard accurately at a rate of 40 net w.p.m.                              

Additional Knowledge and Skills Preferred
This position requires a mature individual with multiple skills, able to function in diversified activities.  To function effectively, the following skills are essential: 

  • Clerical Skills: accounting, general office procedures filing methods, use of computers with Microsoft software, especially Excel, data bases.  Good telephone manners are required.
  • Temperament: the personal contact required with faculty, staff and non-University individuals at various administrative and professional levels requires a temperament and maturity that will allow this individual to function effectively under sometimes stressful situations.
  • Discretion is required as this position involves access to and handling of privileged information.
  • Must be able to continue working on assigned tasks with multiple interruptions including phone calls, sales representatives, walk-in requests for information, supplies, etc.
  • Knowledge of University system and procedures is essential.

$2,278 per month
