Job Description/Responsibilities
This position is for an Office Manager to oversee the general office operations of the Department of Biological Sciences. The activities of the Biological Sciences office are shared with and assisted by an Office Support Associate, and student workers.

Specific duties include:

  • Managing the general operation and organizational activities of the office of the Department of Biological Sciences, and prioritizing, coordinating and facilitating necessary actions.
  • Serving as liaison between the Chair, faculty, staff and students, university administrators, alumni and outside agencies in matters of policy and administration of departmental operations.
  • Serving as resource person and providing assistance to the Chair in matters of enrollment management, budget preparation, resource allocation, program assessment and assembling and providing information and reports.
  • Working with the Assistant Chair in preparation of course schedules.
  • Providing assistance to the Graduate Program Director in assigning and managing Teaching Assistantships.
  • The Office Manager may be assigned other related tasks in support of the mission and goals of the department.

Personal Attributes Needed to Undertake Job

  1. Ability to anticipate needs, organize, prioritize, multitask, and meet deadlines while under the pressure of constant interruptions.
  2. Proficiency with word processing and spreadsheets, and the ability to learn various database software packages including Banner, Argos, WebNow, etc.
  3. Strong verbal and written communication skills.
  4. Interpersonal skills necessary for constructive interaction with faculty, instructors, staff, students as well as agents in other offices on campus and the general public.
  5. Proven ability to exercise sound judgment while maintaining confidentiality in handling sensitive information.

Minimum Qualifications

  1. High school graduation or equivalent
  2. Twenty-four (24) months of clerical/office support work experience comparable to that performed at the Office Support Specialist level of this series or in other positions of comparable responsibility (see Specialist duties here http://www.sucss.illinois.gov/documents/ClassSpecs/spec0845.pdf)
  3. Ability to keyboard accurately at a rate of 40 net w.p.m.
