Job Description/Responsibilities
The purpose of this position is to provide administrative support to the Coordinator and Academic Advisors with office and clerical duties.  This position serves as the front desk coordinator for this busy student service office.  CAS Undergraduate Advising serves students with majors and minors within the College of Arts and Sciences.

Duties and responsibilities include but are not limited to:

  • Answering telephones, relaying calls and voicemail messages to appropriate staff members.
  • Greeting visitors and setting general mood for office.
  • Screening telephone calls and visitors to determine needs and personally handles routine inquires, requests or problems.
  • Answering correspondence and phone inquiries gathering information from available resources.
  • Training and supervising new student workers in unit procedures and tasks.
  • Communicating assignments to others in office (specifically student workers), giving instructions and explaining procedures to be followed. 
  • Reviewing or spot checking work for accuracy and acceptability.
  • Keep track of all new major/minor declarations entering and leaving the College, and send documents to respective advisement offices when student changes major and/or minor.
  • Assign advisors in the student information system, run weekly list of majors and minors, and notify Coordinator and advising staff of any changes to advising caseload.
  • Keeping office staff informed of status of work in progress, changes in work load, problems meeting work schedules, anticipated vacancies and similar matters.

The Office Support Associate position may be assigned additional related duties and responsibilities in support of the department’s mission and goals.

Minimum Qualifications

  1. High school graduation or equivalent; and
  2. Any one or combination totaling eighteen (18) months from the following categories:
    (a) work experience performing routine clerical/office support work, including use of computer systems
    (b) vocational training that provided a knowledge of generally accepted clerical procedures
    (c) college or university course work in Office Occupations, Business Administration, Business Education, or closely related fields  
         30 semester hours = eighteen (18) month
    (d) college or university course work in any curriculum
         48 semester hours = eighteen (18) months; and
  3. Ability to keyboard accurately at a rate of 40 w.p.m.
