Rental Information
Only authorized employees may drive University vehicles. Authorization is obtained by filling out a Driver Approval Form. Please fill out the form and mail to Transportation Services, Box 1004 or fax to x3103. Additional training is required for employees who need to drive the 14-passenger buses.
Reserving
Vehicle reservations are made on a first come first serve basis and no guarantees are made for last minute reservations. Reservations may be made by phone: (618) 650 - 3100, by fax: (618) 650 - 3103, or by mail: Box 1004. A form has been provided for mail and fax responses on the forms page. Information required includes:
- Type of Vehicle Needed
- Departure Date and Time
- Return Date and Time
- Driver(s)' Name(s)
- Destination
- Account Title and Number (FAS) Responsible for Rental Charges
- Any Special Requirements
- Telephone Number
We ask that you be relatively sure of your departure and return times when making a reservation as this will help ensure proper billing and scheduling of vehicles.
If the department discovers that a reservation is no longer needed, please call us at (618) 650 - 3100 to cancel the trip. The cancellation fee will be waved as long as we are notified before the scheduled pick-up date and time.
Picking-up
University vehicles are available for pick-up at Transportation Services Monday - Friday 8:00 am to noon and 1:00 p.m. to 4:00 pm. If unable to pick-up keys during those times, keys can be left with the University Police. Proof of license may be required for release of keys to driver.
When getting in the car, please check to make sure the beginning mileage is correct. If it is not, cross out the mileage stated on the form and write-in the correct mileage.
Returning
Upon returning, please make sure the trip ticket is signed, the ending mileage recorded, and the return date and time is filled-out. If returning during normal office hours, please drop off in Transportation's office. There is a drop-off box next to our exterior door for after hour returns. Please do not drop-off keys at the Police Department.
Be sure to return the vehicle at the scheduled time! If unable to do so, please call Transportation immediately so that other arrangements can be made and another employee is not left without a vehicle.
