Transfer Information

  1. Login. The above URL will take you to the login screen for Advisor Trac. Use your SIUE e-mail ID (username) and password. Then click LOGIN.
  2. Clicking LOGIN takes you to a screen that will have the current date across the upper right. Ignore the section of the screen that says Start | End | Description | Days. It has no use for making appointments. This screen has just two uses: (a) it will tell you when you have advising appointments, and (b) it will enable you to schedule advising appointments. At the top of the screen in the light blue horizontal band, click on Make Appointment.
  3. Clicking on Make Appointment will take you to the Availability Search screen. (a) If you simply want to look for the first available appointment with any advisor, just click on SEARCH and leave the Advisor field blank. This will bring up all the advisors and their appointment availabilities. But you will need to scroll down the screen to see the availabilities. Or (b) If you want an appointment with a specific advisor, use the drop-down menu for Advisor: at the top of the screen. Click on the advisor's name (with whom you wish to schedule an appointment). Then click on SEARCH. You will need to scroll down the screen to see the advisor's appointment availabilities.
  4. From the list of appointment availabilities, select an advisor with appointment availabilities that will fit your needs. Click on the time available line (ex.: 8:00 A.M. - 12:00 P.M.) for the time range you want.
  5. Clicking on the time available line for the advisor and day you want will take you to the Appointment screen. The screen will have "Student Info." in the upper left, and below that it will say "Appointment Information (Type=)" and it will have the date of the appointment. Click on the drop-down menu for appointment times. Click on the time you want to schedule. Then click on Save Appointment. That's it! You are scheduled for an appointment.
  • What is the repeat policy?
  • A course can be repeated a maximum of three times for a total of four attempts. The last grade earned in that class will be calculated in the grade point average. Credit earned for any course will be applied only once toward degree requirements. A student will not be permitted to repeat for credit a course which is a prerequisite for a course already completed successfully. Please note that the repeat policy is effective only for those courses repeated at SIUE. Students who choose to repeat a course at another institution will be able to transfer credits back to SIUE, but not grades.
  • What is the normal academic load and how can I take an overload?
  • The normal academic load for students is 16 hours. The maximum is 19 hours. Students with a 3.25 grade point average or above for the preceding term may be permitted to take more than 19 hours with the approval of the dean or director of their academic unit. The normal load for the summer term is 12 hours; the maximum summer load is 15.
  • How do I add a course?
  • To add a course before the semester has started — Confer with an academic adviser who will approve the appropriateness of this addition to your schedule. Once the adviser approves the course, you need to log on to Cougar Net and add the class to your schedule.
  • To add a course after the semester has started — Effective the first day of the term, all undergraduate courses are considered “closed.” All students must obtain an instructor’s signature before adding any undergraduate course. This permission to gain admission to the class will generally be given on the Program Change Form (Add/Drop form) which must be taken to the Service Center, 1309 Rendleman Hall for processing. Students must confer with an academic adviser who will approve the appropriateness of this addition to their schedule.
  • How do I drop a course?
  • To drop a course before the semester has started — You can log on to CougarNet and drop a course prior to the start of the term.

To drop a course after the semester has started — You may drop a course within the following guidelines by submitting a completed Program Change Form with authorizations as appropriate. Students dropping a course during Weeks 1-2 will receive a refund of tuition and fees for the course. After Week 2 students remain financially responsible for all tuition and fees with no refund given.

    Fall and Spring Semesters
Weeks 1-2: You may drop a course without permission of the instructor and have no entry on your transcript.

Weeks 3-10: You may drop a course without permission of the instructor. Grade of “W” is automatically assigned.

Weeks 11-13: You may drop a course only with approval of the instructor and adviser; grade of “WP” or “WF” must be assigned by instructor; “WF” is computed in the GPA as an “F.”

After Week 13: No course may be dropped; a grade other than “W,” “WP,” or “WF” must be assigned by the instructor.

Summer Session, to the Office of the Registrar (www.siue.edu/registrar).
  • What do I do if I want to totally withdraw from all courses for the semester?
  • If you find it necessary to withdraw from the University during any term, you must initiate official withdrawal procedures in the Service Center, 1309 Rendleman Hall. All withdrawals must be completed by the end of the 13th week of classes during fall and spring, and by the end of the 8th week for summer full-term classes. Different deadlines apply to short-term classes or workshops scheduled in non-traditional formats. Refund questions can be answered by the Service Center.
  • How do I declare my major?
  • Undeclared students who wish to apply for a major should make an appointment with an adviser in Academic Counseling and Advising to complete a Major and/or Minor Approval form. You must declare a major in order to declare a minor. Acceptance into the major program of study is at the discretion of the academic department. Students are advised by the department of their major after acceptance into the major.
  • I received an Incomplete "I" grade in one of my classes; what should I do?
  • A grade of “I” (Incomplete) may be awarded when a student has completed most of the work required for a class but is prevented by a medical or similar emergency from completing a small portion of the course requirement. Unless instructors have specified a shorter period of time, incomplete grades not completed within one year will automatically be changed to an “F” (graduation in the meantime notwithstanding). Students completing work for a course in which they have a grade of Incomplete should not formally re-enroll in that course, but should meet with their instructor to determine requirements for completing the course.
  • How can I find out if classes are cancelled due to the weather?
  • Announcements will be made on WSIE (FM 88.7). They will not be posted on other radio or TV stations. Additionally, notices will be posted on the University website, www.siue.edu; e-mail will be sent to faculty, staff, and student list serves; and voice mail will be sent to faculty and staff. Also, the University switchboard, 650-2000, may be called. Please do not make calls to the University Police Department. Every attempt will be made to make a decision by 5 a.m. so that the information will be available.
  • Why am I on Academic Probation?
  • You are placed on Academic probation when your term grades cause your cumulative GPA to fall below 2.00. You remain on Academic Probation while your cumulative GPA is less than 2.00.
  • What restrictions apply to me because of Academic Probation?
  • While on Academic probation, your enrollment should not exceed 12 hours. It is a good idea to work with your Academic Advisor to develop an academic improvement plan. You cannot declare a major while you are on Academic Probation. You cannot hold a student government or student organization office while you are on Academic Probation.
  • How long can I remain on Academic Probation?
  • You will remain on Academic probation until your cumulative GPA is 2.00 or better. While on Academic probation you must have a current term GPA of at least 2.00 or you will be suspended from the University.
  • What is CougarNet?
  • It is the student’s information website. CougarNet provides you with access to your record at SIUE and is available through any Internet service provider. Among the features you can access are your class schedule, SIUE transcript, final grades, account balance, last bill, current transactions, financial aid status, and addresses. You can change your local address and your non-SIUE e-mail address. You also can conduct course searches to see availability for future terms.

  • Go to this website: www.siue.edu/COUGARNET/

Enter your Student ID (usually your Social Security number) for ID, and your birthdate for your PIN. Upon successfully entering the system the first time, you will be prompted to change your PIN. The new PIN should be a 4 digit number that you will remember throughout your career at SIUE.
